Privacy Policy

This Privacy Policy explains what information Ranmi ("Ranmi," "we," "us") collects when you use our relationship-management platform, how we use it, who we share it with, and the choices you have. It applies to the Ranmi web application and every workspace hosted on it.

1. Information we collect

Account information. Your name, email address, and a hashed (never plaintext) password when you register, or your name/email from Google if you sign in with Google.

Workspace data. Whatever you and your team enter into your workspace: records in your Database, contacts, notes, tasks, project details, messages you compose or that flow through a connected mailbox, and pipeline/stage history. This is your data; we process it to operate the service, not for our own purposes.

Connected integrations (optional, only if you connect them).

AI processing. To power classification, research, and natural-language features, workspace content you choose to act on (e.g. a business description, a search query, a record's fields) is sent to Anthropic (Claude) for processing, and, for AI-assisted web research features, to Tavily to search and retrieve public web content. Neither provider uses this data to train their models on our plan with them.

Billing information. If you subscribe to a paid plan, payment is processed by Paystack. We never see or store your card number; we store your plan tier, billing status, and Paystack's own customer/subscription identifiers.

Usage and log data. Login timestamps and method, AI/API usage volume (for plan enforcement and billing), and, for platform staff, administrative action logs (e.g. a suspension or a password reset performed on your behalf).

Cookies. We use a single essential, httpOnly session cookie to keep you signed in. We do not use advertising or third-party tracking cookies.

2. How we use this information

We do not sell your personal information, and we do not use your workspace data to train AI models.

3. Who we share it with

We share information only with the service providers necessary to operate Ranmi, each bound by their own data-processing terms: Anthropic (AI processing), Tavily (web research), Google/Microsoft (only if you connect Gmail/Outlook or use Google Sign-In), Hunter.io (only if you connect it), Paystack (payments), our email-delivery provider (transactional email), and our hosting provider. We may also disclose information if required by law, or to protect the rights, property, or safety of Ranmi, our users, or the public.

4. Data retention and deletion

Deleting a record, project, or workspace in Ranmi moves it to a recoverable state first (e.g. "Recently Deleted," a 30-day workspace recovery window) before permanent removal, so you have a real chance to undo a mistake. Once that window passes, or if you request immediate deletion, the data is permanently purged. You can request deletion of your account or workspace at any time by contacting us.

5. Security

Passwords are hashed, never stored in plaintext. Session identity is carried in an httpOnly, secure cookie, never accessible to page scripts. OAuth tokens for connected integrations (Gmail/Outlook/Hunter.io) are encrypted at rest. Access to another workspace's data is enforced on every request, not just hidden in the interface.

Ranmi is a business tool not directed at, or knowingly used by, children. We do not knowingly collect information from anyone under 16.

8. Changes to this policy

If we make material changes to this policy, we'll update the date at the top of this page and, where appropriate, notify workspace owners by email.
